Privacy Notice

This notice explains what personal information Ventrax uses, why it is needed and the choices and rights available to you.

At a glance

Ventrax collects only the information needed to operate the waitlist, memberships, software, support and security controls. Stripe handles card data. We do not sell personal information.

1. Who is responsible for your information

2. Information we collect

  • Waitlist and contact data: name, email address, consent status and messages you send us.
  • Account and membership data: plan, billing status, renewal dates, approved stores, onboarding notes and support history.
  • Payment information: Stripe supplies transaction identifiers, payment status, billing country and limited card details such as brand and last four digits. Ventrax does not store full card numbers.
  • Product and marketplace data: listing inputs, store identifiers, order references, product information and settings you choose to process through the Service.
  • Usage and security data: feature usage, credit events, timestamps, browser or device identifiers, diagnostic events, IP address and signals used to prevent account sharing, fraud and abuse.
  • Community and support data: call attendance, bonus eligibility, questions sent to the website assistant, support transcripts and messages or files shared through support or an approved member community.

4. AI-assisted processing

When you request AI-assisted content, relevant listing inputs may be sent to an AI infrastructure provider so the requested title, description or item specifics can be produced. Do not submit sensitive personal data or information you are not authorised to use. We aim to minimise identifiers sent for this purpose.

The website help desk matches questions against Ventrax's published FAQ information without sending them to a generative-AI provider. If you ask for human follow-up, the email address, question and conversation transcript you submit are saved in the Ventrax support inbox so the team can reply. Do not put passwords, payment-card details or other sensitive information in the help desk.

5. Who we share information with

We use service providers only where needed to operate Ventrax, including:

  • Stripe for checkout, subscription and payment processing;
  • Cloudflare and OpenAI's Sites infrastructure for website hosting, database storage, authentication and security;
  • OpenAI and other AI infrastructure providers for requested listing-generation features;
  • email, support and community providers when you use those channels;
  • eBay, Amazon and other marketplace services when you direct the extension to interact with them; and
  • professional advisers, regulators or law-enforcement bodies where reasonably required by law.

We do not sell or rent your personal information.

6. International transfers

Some providers may process information outside the United Kingdom. Where UK data-protection law requires safeguards, we rely on an adequacy decision, approved contractual protections or another lawful transfer mechanism.

7. How long we keep information

  • Waitlist records: normally up to 24 months after the last meaningful contact, unless you join or ask us to delete them sooner.
  • Membership, transaction and contract records: normally up to 6 years after the relationship ends where needed for tax, accounting or legal claims.
  • Support records: normally up to 24 months after the issue closes, unless a longer period is justified.
  • Usage, diagnostic and security records: retained only as long as reasonably needed for reliability, abuse prevention and dispute handling.

We may retain less information for longer where it has been irreversibly anonymised.

8. Your rights

Depending on the circumstances, you may ask for access, correction, deletion, restriction, portability or objection to certain uses. Where we rely on consent, you may withdraw it at any time without affecting earlier lawful use. Email ventraxapp@gmail.com to make a request.

You may complain to the UK Information Commissioner's Office at ico.org.uk. We would appreciate the opportunity to address your concern first.

9. Security and cookies

We use HTTPS, access controls and specialist payment processing. No online system is completely secure, so please protect your credentials and tell us promptly about suspected misuse. Read our Security page and Cookie Notice.

10. Changes

We may update this notice as Ventrax develops or legal requirements change. Material changes will be highlighted on the website or communicated to active members where appropriate.
